How are filters and workflows shared between user accounts in UNIFI? - WKB23711

ANSWER

  1. If one user account (for example Administrator) creates custom filters:
    1. Those filters are not available to any other user accounts (e.g. Test_Chemist) in “Select Filter” irrespective of whether they have the same role permissions or folder access permissions as the user account in which the custom filter was created
    2. It is not possible to change account permissions for the second user account (Test_Chemist) to make the filters created in first user account (Administrator) available in the second user account.
  2. If one user account (Administrator) uses custom filters to make a custom workflow:
    1. That workflow is visible when you log in with the second user account (Test_Chemist). 
    2. The filters specified in the workflow created by the first user account are not visible / accessible in Manage Filters when you log in with the second user account
    3. The custom filters specified in that workflow are not applied at each step of the workflow.
  3. If the first account (Administrator) account exports their workflow containing the custom filters to an XML file and the second account (Test_Chemist) then imports that workflow xml file (the Chemist must be given the permission "Import and Export Workflows", which is not one of the default Chemist or Analyst account permissions):
    1. The custom workflow is available to the Chemist user account.
    2. The custom filters is correctly applied at each step of the workflow.
    3. The custom filters within that workflow are also available from “Select Filters”.
    4. The Chemist account can use those filters in other custom workflows (if they have permission to make workflows).
